The direct answer first: good billing software for a retail shop does five jobs without being asked - bills fast by barcode, applies GST line by line, keeps stock matching the shelf with every sale, remembers your customers, and keeps working when the internet drops. Free mobile apps genuinely cover a very small counter; the moment a queue forms or stock stops matching the shelf, you need the real thing. Here is how to tell the difference before you pay for it.
Software or machine - which are you actually buying?
They travel together, but they are different purchases. The machine is the screen and printer on the counter; the software is what turns it into billing, stock, GST and loyalty. The eight capabilities that matter

- Every payment mode. UPI, cards, cash and wallets - including one bill split across several, reconciled on a single receipt.
- Stock that updates itself. Every bill should decrement inventory the moment it prints - purchase orders, low-stock alerts and expiry tracking live in the same place.
- Customer memory. A phone number at checkout should build the profile by itself - khata, loyalty points and purchase history in the engagement layer, not in a notebook.
- An offers engine. BOGO, pack offers and SKU-level discounts configured once and applied automatically - never mental arithmetic at the till.
- Reports wherever you are. Sales, margins and GST summaries from any browser or the mobile app - the shop should not need you standing in it to be understood.
Free vs paid
Free billing apps are real and genuinely useful at very low volume: a home business, a stall, a counter that bills a handful of customers an hour. What free gives up is exactly what volume demands - barcode-speed checkout, a proper counter printer, deep stock control and a service line that answers. The honest test: if a queue ever forms at your counter, free has already cost you more than paid would have.

The thirty-minute vendor test
- Scan twenty items in a row and time it. Then find an unbarcoded item by name.
- Pull the internet and keep billing. Watch the sync when it returns.
- Print a GST invoice and read the line items: rates, HSN codes, your details.
- Split one payment across UPI and cash and check the receipt shows both.
- Open the sales report on a phone. Then ask who answers the service line on a Sunday, and how fast.
